VFX Deputy Head of Production 


Lux Aeterna are hiring a VFX Deputy Head of Production as part of a job share to help manage various aspects of our projects, staff and studio. The role is part time, 2 days per week based out of our Bristol office on a 1 year fixed term contract. Start date of January 2025. Salary based on experience.

Required Skills and Experience

  • Experience as a either a Head of Production, VFX Producer or Production Manager in a creative setting
  • A strong understanding of the VFX and Motion Graphics workflow, with awareness of software such as Houdini, Maya and Nuke 
  • Must have experience using Flow Production tracking (formally Shotgrid)
  • Excellent organisational skills and acute attention to detail
  • Demonstrated project management experience with the ability to problem solve independently in a fast paced environment
  • The ability to liaise and collaborate with Clients, Supervisors and Artists
  • Strong knowledge of MS Office package (including Word, Excel) and Google sheets


Main responsibilities 


General

  • To have an overview of all projects within the business, maintaining efficient workflow while being able to accurately update others within the business on project status
  • Helping to promote Lux Aeterna’s work, company values, mission statement and vision to clients, colleagues, employees, and industry professionals


Resources 

  • Effectively managing studio resources for all staffing requirements and overseeing the demand and capacity, making suggestions to meet project deadlines and aligning Artists with their best skillsets 
  • Working with Producers to provide important updates on project resources
  • Identifying priorities for Artists working across multiple projects
  • Using your Artist network to bring in valuable new hires and taking action on requirements for contracts
  • Reviewing portfolios and CVs for potential artists and managing the artist database
  • Managing holiday and time off requests and recording any studio absences
  • Ensuring the artist onboarding and offboarding process runs smoothly and effectively 


New Business

  • Be the first port of call for all new business queries, responding in a timely manner
  • Be confident and experienced in bidding out projects of any size budget from scratch. Projects may range from motion graphics to full VFX, incorporating a broad range of Artists and skills
  • Must have pitch experience, from receiving the initial enquiry to delivery; managing the team, creative process and budget, and building the final pitch deck
  • Responsible for dealing with Client contracts, making sure everything is accounted for
  • Proof reading creative decks and proposals for accuracy


Financial

  • Must have experience in P&L management, and in reporting project finances regularly and accurately within the business.
  • You will be across all Sales invoicing within the business, including the tracking and issuing of invoices to Clients 
  • Sense checking and proofing Producers bids before they go to Clients 


Miscellaneous 

  • You will be the point of contact for any production needs from Marketing and Operations, and be the go to person for the Production team, Directors and the wider studio 
  • Dealing with any ad hoc staffing issues and reporting these to the relevant people 
  • Providing cover on projects when required by the Production team in case of sickness and absence
